The Application Process2

The process of applying to become a tenant is straight-forward.

  1. Complete an application form (one per adult) and return with holding deposit, one form of photo ID and one form of proof of address (utility bills from the last 3 months are preferable).
  2. Authorisation at this stage of the tenancy is subject to references and contract.
  3. We will remove the property from the market and cancel any other viewings while we process your application.
  4. You will be sent an email confirming that your application has been accepted subject to references and contract, along with confirmation of terms agreed, a sample tenancy agreement, details of the protection scheme your damage deposit will be registered with, and a copy of the Energy Performance Certificate (EPC).
  5. We will undertake references and credit checks. Please note this can take up to two weeks, depending on how quickly referees respond to our requests. If you wish to speed up this process you can supply 6 months bank statements with your application which means we won’t have to wait for a reference from your bank.
  6. When all references are received, we will authorise your tenancy subject to contract.
Holding Deposits

A holding deposit is payable upon application. This financial commitment allows us to take the property off the market while we process your application. Upon completing the tenancy agreement, the holding deposit will be credited in part or full payment to the damage deposit and is then held in accordance with tenancy deposit protection law. This law does not apply to holding deposits.

Damage Deposits

If we are instructed by a landlord to hold the damage deposit we shall do so under the terms of the Tenancy Deposit Scheme (TDS). You will be provided with the statutory information regarding the protection of your deposit. The damage deposit is returnable at the end of the Tenancy subject to compliance with all terms and conditions of the Tenancy Agreement and landlord instructions. Rana Homes (unless otherwise instructed by the landlord) will retain the deposit for the duration of the Tenancy. If the landlord wishes to hold the deposit themselves, we ensure they provide proof of registration with a deposit scheme before we release it to them.

Application Fees

No application fee is payable upon application for a property. This includes negotiations, referencing, credit checks, and for the production of your tenancy agreement and associated notices. There are no other fees due before taking up tenancy of the property, unless you have pets, require a guarantor or wish to ‘fast track’. See page 7 for fee structure.

Cancellation by the Applicant

If you pull out of an application once referencing has commenced, or unreasonably delay the agreed start date of the tenancy, you will forfeit your holding deposit.

  1. Terms All information given will be treated as strictly confidential. This application is not a contract, nor may it be construed as consent to occupy. Several applications may be considered for the same property, and the Landlord reserves the right to consider any or none of the applicants. Due to the nature of the information supplied, Rana Homes regrets that an explanation may not be given if a tenancy is not approved. This application is subject to Ground 17 of the Housing Act 1996.
  2. Cancellation If you cancel your application before references are applied for, the fee and holding deposit can be refunded. No fee refund is available under any circumstances once references have been applied for. If you cancel your application after references are applied for you will forfeit your holding deposit. If you cancel your application once tenancy approved and check-in booked you will forfeit all of your holding deposit. See page 2 for more details.
  3. Property Availability Every effort will be made to commence your tenancy on the start date agreed on application. However in very rare situations due to circumstances beyond our control, it may be necessary to change the start date, or even cancel the proposed tenancy if the property becomes unavailable to you. We stress that this is extremely rare and every effort is made to prevent such situations from occurring.
  4. Tenancy Agreement A sample tenancy agreement will be supplied to you during the application process to ensure legal advice can be sought if required. The agreement is a generic document written by solicitors who are specialists in the legal field of residential lettings, and it cannot be substantially amended for individual Rana Homes requirements unless charges paid to do so.
  5. Signing Agreement All persons making an application for tenancy, as well as guarantors, must be available to sign the tenancy agreement prior to commencement of the tenancy, either on the day of check-in. In the case of joint tenancies, tenants are signing as jointly and severally liable. Guarantors are liable for all obligations not just rent.
  6. Rent Payment In addition to the deposit and fees, you will need to have paid your first month’s rent in cleared funds before you commence tenancy. This can be paid on the day by bank transfer. A standing order form will be supplied to you on the day you collect your keys for you to complete with your bank details to pay your monthly rent in advance. It is your responsibility to ensure that the rent credits Rana Homes account on the day it is due, and therefore the standing order be set up 3 days before the rent due date to allow the funds to clear in time.
Declaration & Signature8
  1. Pets If consent is given for pets at the property, either at the start or during the tenancy, an additional £100 damage deposit per pet is normally added to the standard deposit. You must have the property professionally cleaned at the end of the tenancy, as well as professional cleaning of all carpets. You will be responsible for any damage caused by the pet such as clawing of carpets, scratching on doors, damage to decor, soiling on carpets which cannot be removed by cleaning and damage to gardens. Please note this is not an exhaustive list. A sample of the permission clause can be provided on request. The above terms don’t apply to all pets, please ask for details.
  2. Property Misdescriptions Act Every effort has been made to ensure that the information you may have been given about the property for which you are making an application is correct. If there are any items which you are not sure about you must ask. You are invited to see a copy of the inventory where possible before making an application in order to satisfy yourself as to the items being left in the property.
  3. Deposit Rana Homes holds deposits with ‘mydeposits’. No tenant may use the deposit towards the payment of rent in full or in part at any time during or at the end of the tenancy.
  4. Utilities and Services It is your responsibility as the tenant to arrange for the transfer/setting up of the accounts and paying for council tax, water, gas, electricity, telephone, television, Sky etc. Rana Homes is not responsible for supplying a working telephone line or television aerial. Consent from Rana Homes is required to install Sky/Cable — if given, you are responsible for rectifying any damage that may be caused by installation.
  5. Repairs The Landlord does not provide a 24 hour emergency repairs or call-out service. Rana Homes will provide you with full details of who to contact in the event of emergency repair situations on the day you move in.
  6. Gardens It is the Tenant’s responsibility to ensure the gardens and grounds are maintained at all times to a standard acceptable to the Landlord/Landlord’s Agent. If the landlord has the need to instruct a contractor to maintain the grounds or garden due to the Tenant’s neglect, the cost will be borne by the Tenant.
  7. Inspections During the tenancy, Rana Homes will, if employed by the Landlord to manage the property, conduct regular inspections by appointment with you. These will commence around 6 weeks after you move in and quarterly thereafter. The Landlord may also carry out property inspections of their own, particularly where Rana Homes does not manage the property.
  8. Tenant Insurance The landlords insurance policy does not cover Tenants possessions, therefore we strongly advise that you insure your belongings with a reputable insurer.
Declaration and Consent

I confirm that the information supplied is to the best of my knowledge and belief true. I have no objection to this information being verified by fair and lawful means, which will include contacting referees supplied. Details of how I conduct Rana Homes account may also be disclosed to the credit reference agency. This information may be used by other lenders in assessing applications from me and other members of my household and for occasional debt tracing and fraud prevention. I authorise Rana Homes to use, release or obtain upon request any information gained during the process of my application and continued relationship to the landlord, local authority, utility companies and third party block management agents.
